Challenge
Marketing and sales worked separately, with no shared contact data and no automated campaigns.
Results
Actaport now works with lead scoring that highlights relevant contacts for sales. Automated email sequences introduce testers and new customers to the product, and a reporting setup maps the entire marketing and sales funnel. Through a monthly retainer, HubSpot has kept pace with the company’s requirements ever since.

The Customer

About Actaport

Actaport provides cloud-based practice management software for lawyers. As a B2B software provider, the team knows the value of the right tool from its own product development and wanted that same standard for its own sales and marketing work.

The Challenge

Actaport wanted to run marketing campaigns while also enabling the sales team to manage contacts efficiently. The company chose HubSpot with Marketing Hub Professional and Sales Hub Starter. For the implementation, Actaport sought a partner who was proficient in HubSpot and could quickly grasp the realities of a B2B software company.

The Solution

Mark Lotse started with the processes and tailored the CRM to Actaport’s way of working. We handled the onboarding for both Hubs, developed a lead scoring system, created templates for email campaigns and landing pages, and automated sales steps using workflows. Additional systems for licensing and support were integrated into HubSpot. A reporting framework made key metrics from marketing and sales visible. We provided ongoing training to the sales team throughout the implementation.

The Result

Today, the sales team can see at a glance which contacts deserve attention. Testers and new customers go through automated flows that introduce them to the product. After implementation, we remained on board through a monthly retainer: We provide ongoing advice on performance and regularly test email campaigns and forms using A/B testing.

Why this matters for similar B2B companies.

SaaS providers with a trial phase face the same task: filtering the few registrations worth a conversation out of the many that come in. Lead scoring and automated activation sequences solve this in day-to-day operations once marketing and sales work from the same data. This is especially effective for software companies with a self-service entry point and a consultative sales close.
