This is how our onboarding works:
Step 1
In an initial orientation workshop, we clarify common goals and the roadmap for onboarding. We define the stakeholders and the core team involved in the project. We also plan the introduction & training for the teams.
Step 2
If the strategic foundations such as target groups & ICP definition, customer journey & content strategy are already in place, we will carry out a review of the information and clarify open points with you.
If there are any gaps, these will be addressed in workshops.
Step 3
During the design phase, we map your processes on a Miro Board, for example, and translate your customer journey for HubSpot. We also define the ICPs, your minimum data requirements and the lifecycle stages in HubSpot. Once this is done, the next step is to start the set-up.
Step 4
If necessary, we start the basic set-up in HubSpot parallel to step 3. This involves creating the necessary links, exchanging forms if necessary and transferring data from previous CRM systems.
Step 5
In the next step, we map the customer journey directly in HubSpot. Ideally, the process is oriented along the journey - so the various teams can carry out their work in HubSpot step by step.
Step 6
Parallel to step 5, we conduct regular team trainings - these are tailored to the target groups and include both the presentation of HubSpot functions and your specific journey.
Step 7
As far as the processes are mapped in HubSpot, we build corresponding dashboards and reports for your team so that you have an even better overview of your goals in the future. We set targets for important KPIs and provide a roadmap on how you can best achieve them.
Step 8

In principle, the process of onboarding through HubSpot is similar - however, as an independent agency, it is particularly important to us that we understand your processes in detail in order to map them optimally in HubSpot. Therefore, onboarding by us may be a little less standardized and can be designed more individually.
No, it is also possible for us to define your customer journey as part of an additional strategy process, as well as your target customer & content strategy.
The duration of onboarding essentially depends on two factors: a) the status of the foundations already established and b) the scope of the HubSpot license and the team.
When onboarding a marketing & sales team on a HubSpot Professional Suite, we expect it to take around 3 to 6 months until the processes are clean in HubSpot.
For large, international teams, the roll-out can take longer.
We usually carry out our onboarding with a combination of workshops (on site OR online) and shorter working appointments. The workshops serve to develop strategies within the team and thus create a high level of alignment. In the working sessions, we then work in various groups on the operational aspects of recruitment.
